When Should a Chatbot Hand Off to a Human?

Automation should reduce friction, not trap a prospect. A well-designed system makes escalation obvious and timely.

Use a human for judgment

Handoff is appropriate when a visitor requests a person, expresses frustration, asks for a binding quote or exception, raises a complaint, provides sensitive information, or needs professional judgment.

Set boundaries in advance

Define what the chatbot may answer, which information it may collect, who receives the alert, and what happens after hours. Avoid open-ended claims the system cannot verify.

Make escalation visible

Offer a clear call, text, email, or appointment path. Tell the visitor what will happen next without promising an exact response time unless the business can reliably meet it.

Review the conversations

Recurring questions and failed routes can reveal where content, staff processes, or automation rules need improvement. Optimization should be based on real interactions and approved business policies.
